These terms apply to air-conditioning installation works undertaken by WDI Group (Surrey) Ltd and should be read together with our Standard Quotation Terms & Conditions and the individual quotation.
1. SCOPE OF INSTALLATION
The installation includes only the equipment, labour, materials and works specifically described within the quotation. Any additional indoor units, pipework, electrical work, condensate pumps, drainage alterations, access equipment, building work, decoration or other works not specifically included will be chargeable.
2. SYSTEM DESIGN & SIZING
WDI Group will recommend equipment based upon information reasonably available at the time of quotation, including room dimensions, intended use, construction, occupancy and anticipated heat load. Cooling and heating performance can be affected by glazing, solar gain, insulation, occupancy, electrical equipment, open doors/windows and unusual heat loads. Where important information supplied by the Client is inaccurate or room use subsequently changes, system performance may be affected.
3. FINAL EQUIPMENT POSITION
Indoor and outdoor unit positions shown or discussed before installation are proposed positions and may require reasonable adjustment once installation begins. Final positioning may be affected by structural conditions, manufacturer requirements, pipework routes, drainage, electrical supplies, access, clearances or other site conditions. Any material change from the agreed design will be discussed with the Client where reasonably practicable.
4. PIPEWORK, CABLES & TRUNKING
Refrigerant pipework, electrical/control cables and condensate drainage will be routed as described within the quotation or as reasonably required to complete the installation. Where surface-mounted services are required, suitable trunking may be used. Unless specifically stated, WDI Group cannot guarantee that all pipework, cabling or drainage can be completely concealed. The final route may require adjustment where concealed structural elements, existing services or other site conditions prevent the originally anticipated route.
5. WALL PENETRATIONS
Air-conditioning installation normally requires drilling through walls for refrigerant pipework, cables and condensate drainage. WDI Group will take reasonable care when creating penetrations. The Client accepts that drilling into existing buildings carries a risk of encountering concealed services, unusually hard materials, hidden structural components or previously unknown defects. Where unforeseen conditions require additional work, specialist drilling or an alternative route, additional costs will be chargeable.
6. MAKING GOOD & DECORATION
Unless specifically included within the quotation, painting, decorating, specialist plastering, rendering, tiling, wallpaper repairs and exact matching of existing finishes are excluded. Where making good is included, WDI Group will make reasonable efforts to leave penetrations and disturbed areas suitably finished, but an exact match to existing aged paint, render, brickwork or other finishes cannot be guaranteed.
7. CONDENSATE DRAINAGE
Air-conditioning systems produce condensate water during normal operation. Where reasonably practicable, WDI Group will install condensate drainage using gravity fall to a suitable discharge point. The final drainage arrangement will depend upon indoor-unit location, available falls and site conditions. Condensate drainage requires ongoing maintenance and can become restricted or blocked by dust, dirt, biological growth or other contamination over time. Future condensate blockages caused by normal contamination or lack of maintenance are not installation defects and attendance to clear or maintain drainage will be chargeable.
8. CONDENSATE PUMPS
Where gravity drainage is not reasonably achievable, a condensate pump may be required. Condensate pumps are mechanical/electrical components and can produce a noticeable operating sound. The Client accepts that a pump may be audible during normal operation. Condensate pumps require routine cleaning and maintenance and may fail, become blocked or require replacement during the life of the system. A pump supplied by WDI Group is covered by the applicable manufacturer's product warranty, if any, subject to the manufacturer's terms. A future pump blockage caused by contamination or lack of maintenance is not a WDI Group workmanship defect. Where a pump fails outside its applicable product warranty, or requires cleaning because of contamination, attendance, labour and replacement will be chargeable.
9. CONDENSATE DISCHARGE
Condensate will be discharged to a suitable location identified during installation. Where condensate terminates externally, the Client accepts that water may be visible at the discharge point while the system is operating. WDI Group cannot accept responsibility for subsequent alterations, obstruction or damage to condensate drainage caused by third parties.
10. OUTDOOR UNIT NOISE & VIBRATION
Outdoor units contain compressors and fans and will produce some noise and vibration during normal operation. WDI Group will install equipment using appropriate mounting arrangements and reasonable measures to minimise vibration transmission. Complete elimination of operational sound or vibration cannot be guaranteed. Noise levels may vary depending upon operating conditions, ambient temperature, load and manufacturer operating modes.
11. WALL-MOUNTED OUTDOOR UNITS
Where an outdoor unit is installed on wall brackets, the Client accepts that some vibration may be transmitted into the supporting structure during operation. Where WDI Group considers the proposed wall unsuitable for mounting, an alternative location or floor-mounted arrangement may be recommended. Any change requiring additional materials or labour will be chargeable.
12. ELECTRICAL SUPPLY
Air-conditioning equipment requires a suitable electrical supply and protective devices. Only electrical works specifically described within the quotation are included. Where the existing electrical installation is found unsuitable, unsafe or incapable of supporting the proposed equipment, additional electrical work will be required and chargeable unless already included. Where electrical works are undertaken by WDI Group or our appointed electrical contractor, applicable electrical requirements and certification will be followed.
13. EXISTING ELECTRICAL INSTALLATION
WDI Group is not responsible for pre-existing defects within the property's electrical installation which could not reasonably have been identified beforehand. If testing associated with installation reveals a pre-existing defect, additional remedial electrical work will be chargeable.
14. ACCESS EQUIPMENT
The quotation is based upon access arrangements reasonably anticipated when prepared. Where scaffolding, towers, specialist lifting equipment, roof access equipment or additional personnel become necessary because of previously unknown site conditions or a Client-requested change, additional costs will be chargeable unless specifically included.
15. PLANNING, FREEHOLDER & PROPERTY PERMISSIONS
Unless specifically agreed otherwise, the Client is responsible for obtaining any required planning permission, landlord consent, freeholder consent, managing-agent approval, listed-building consent or other property-related permission before installation begins. WDI Group is not responsible where the Client proceeds without obtaining a permission which they were responsible for obtaining. Where requested, WDI Group may provide reasonable technical information to assist an application.
16. NEIGHBOURS & NOISE REQUIREMENTS
The Client is responsible for informing WDI Group of any known planning restrictions, lease conditions, freeholder requirements or neighbour-related restrictions affecting the proposed installation. WDI Group will install equipment in accordance with applicable requirements within the scope of our contracted work but cannot guarantee that neighbours or third parties will not subsequently raise concerns regarding the presence or operation of the equipment.
17. EQUIPMENT AVAILABILITY & SUBSTITUTION
Air-conditioning equipment availability can change between quotation and installation. Where specified equipment becomes unavailable, WDI Group will discuss any proposed alternative with the Client before substitution. Any material difference in price or specification will be agreed before proceeding.
18. REFRIGERANT PIPEWORK & SYSTEM INTEGRITY
Refrigerant pipework will be installed, tested and commissioned using appropriate procedures and equipment. WDI Group will exercise reasonable care and skill to ensure the refrigerant circuit is correctly installed and leak-free at commissioning. Future refrigerant loss caused by accidental damage, corrosion, third-party interference, manufacturer component failure or other causes unrelated to WDI Group's workmanship is not covered by the WDI workmanship warranty.
19. COMMISSIONING
On completion, WDI Group will commission the system in accordance with the manufacturer's applicable requirements. Commissioning may include appropriate pressure testing, evacuation, operational testing, temperature checks and other manufacturer-required procedures. The Client will be provided with reasonable information regarding operation of the system and controls.
20. WI-FI & SMART CONTROLS
Where Wi-Fi or app-based control is available, successful operation depends upon the Client having suitable internet access, Wi-Fi coverage, compatible devices and any necessary manufacturer account or application. WDI Group will provide reasonable assistance with initial setup where included. WDI Group is not responsible for failures or changes to the Client's internet service, router, Wi-Fi coverage, mobile device, manufacturer application or third-party cloud services. Future attendance to reconnect or troubleshoot Client Wi-Fi or third-party online services will be chargeable where the issue is not caused by WDI Group's installation workmanship.
21. HEATING OPERATION
Where the installed system provides heat-pump heating, heating output and efficiency will vary with outdoor temperature and operating conditions. The Client should not assume heating performance or operating characteristics will be identical to a conventional gas boiler or other existing heating system.
22. FILTERS & ROUTINE MAINTENANCE
Air-conditioning systems require routine cleaning and maintenance. The Client is responsible for keeping accessible filters reasonably clean in accordance with the manufacturer's instructions and arranging professional servicing at required intervals. Failure to maintain filters and equipment can reduce performance, increase energy consumption, cause condensate problems and contribute to equipment failure. Routine cleaning and maintenance are not covered by the WDI Group workmanship warranty.
23. SERVICING REQUIREMENTS
The Client is responsible for ensuring the installed air-conditioning system is professionally serviced and maintained. Unless WDI Group expressly agrees otherwise in writing, the system must be professionally serviced by WDI Group within each 12-month period following installation in order to maintain any additional contractual WDI Group warranty offered with the installation. Where the manufacturer specifies a shorter or different servicing interval, that manufacturer's requirements must also be followed. It is the Client's responsibility to contact WDI Group and arrange the service within the required period. WDI Group may send service reminders by email, SMS, telephone or other means as a courtesy. The Client remains responsible for arranging the service whether or not a reminder is sent, received or acted upon. Failure to have the system serviced by WDI Group within the required 12-month period may result in any additional contractual WDI Group warranty being void from that point onwards, subject always to the Client's statutory rights.
24. SERVICING OR WORK BY OTHER COMPANIES
WDI Group does not warrant or accept responsibility for servicing, repairs, maintenance, alterations, refrigerant work, electrical work or other work undertaken by another company, contractor or person. Where another company or person services, repairs, alters, disconnects, moves, opens or otherwise interferes with the air-conditioning system, WDI Group will not warrant that third party's work. Where third-party work or interference causes or contributes to a fault, leak, failure or loss of refrigerant, any WDI Group attendance, investigation, repair, recommissioning, refrigerant or other remedial work will be chargeable. Where WDI Group has provided an additional contractual warranty conditional upon WDI Group maintaining the equipment, having servicing undertaken by another company instead of WDI Group may invalidate that additional WDI warranty. Nothing in this clause removes any statutory rights the Client has in relation to WDI Group's original installation.
25. MANUFACTURER WARRANTY – PARTS & LABOUR
Air-conditioning equipment may be covered by a manufacturer's warranty. The length, scope and conditions vary by manufacturer and model. Many air-conditioning manufacturer warranties cover replacement parts only and do not include labour or other costs involved in diagnosing, removing, replacing or recommissioning a failed component. Unless WDI Group has expressly agreed otherwise in writing, a manufacturer providing a replacement part free of charge does not mean WDI Group's labour or attendance is free of charge. Where a manufacturer's warranty is parts-only, the Client will be responsible for applicable WDI Group charges associated with the warranty repair, which may include engineer attendance and fault diagnosis; labour to remove and replace the component; additional visits; refrigerant recovery, evacuation and charging where required; refrigerant not supplied by the manufacturer; pressure testing and recommissioning; access equipment, scaffolding or lifting equipment where required; and other reasonable materials or costs necessary to complete the repair. Where the manufacturer also provides an approved labour allowance, WDI Group will advise the Client how this applies to the particular repair. WDI Group cannot guarantee that a manufacturer will approve a warranty claim. Manufacturer warranty decisions are made by the manufacturer and subject to its terms, servicing requirements and exclusions.
26. MANUFACTURER WARRANTY REGISTRATION
Where applicable, WDI Group will register qualifying equipment for the manufacturer's warranty using Client and installation information provided to us. The Client is responsible for providing accurate information required for registration. The length of manufacturer warranty depends upon manufacturer, equipment, installer scheme and applicable terms at the time of installation. The Client should retain installation, commissioning and servicing records throughout the warranty period.
27. WDI GROUP WORKMANSHIP WARRANTY
Unless expressly stated otherwise on the quotation, WDI Group provides a 12-month workmanship warranty from the date of completion. This warranty covers defects arising directly from installation workmanship carried out by WDI Group. The 12-month workmanship warranty is separate from any manufacturer parts warranty. It does not provide a guarantee against manufacturer component failure, normal wear and tear, blocked filters, routine maintenance, condensate contamination or blockages, accidental damage, misuse, lack of servicing, third-party alterations, pre-existing defects or faults unrelated to WDI Group's installation workmanship. Where WDI Group expressly provides an additional or extended contractual warranty beyond the standard 12-month workmanship period, continued cover may be conditional upon the system being serviced by WDI Group within every required 12-month period. Where a reported warranty issue is investigated and found not to result from WDI Group's workmanship, attendance and diagnostic work will be chargeable. Nothing within these terms affects the Client's statutory rights.
28. CUSTOMER-SUPPLIED EQUIPMENT
Where the Client supplies air-conditioning equipment or other components, WDI Group does not provide a product warranty for those items. The Client is responsible for ensuring equipment is correct, compatible, complete and undamaged. If Client-supplied equipment fails or requires removal, repair or replacement, WDI Group's attendance, diagnostic work and labour will be chargeable. The Client is responsible for pursuing any applicable product warranty directly with their supplier or manufacturer.
29. DAMAGE OR ALTERATIONS BY THIRD PARTIES
The WDI Group workmanship warranty does not cover faults caused by another contractor or person moving, disconnecting, modifying, damaging or interfering with the installed system, pipework, drainage, electrical supply or equipment. Any investigation or remedial work resulting from third-party interference will be chargeable.
30. COMPLETION & PAYMENT
The installation will be considered substantially complete when equipment has been installed, commissioned and is capable of normal operation, notwithstanding minor outstanding cosmetic or non-essential items which do not prevent normal use. Payment becomes due in accordance with payment terms stated on the quotation. Any legitimate snagging or warranty issue reported following completion will be dealt with in accordance with WDI Group's obligations and does not automatically entitle the Client to withhold the entire outstanding balance.
31. ACCEPTANCE
By accepting an air-conditioning installation quotation, paying a requested deposit or instructing WDI Group to proceed, the Client confirms acceptance of the individual quotation and scope of works, WDI Group's Standard Quotation Terms & Conditions, these Air Conditioning Installation Terms & Conditions and any additional project-specific terms stated within the quotation. Nothing within these terms affects the Client's statutory rights.
